Step 1:
Kick –Off : The Construction Meeting Phase-1
After the project is awarded to AVID a kick of meeting is held to get the construction phase team members acquainted, and to coordinate on how the project and how project communication should occur.
During this meeting the logistical protocols and the communication channels are established. The Other issues that addressed are.
• Coordination and sorting any issues that are specific to AVID’s body of work
• Contract issues needing any kind of review, such as warehousing and bonding requirements, contractors billing procedures and project schedules
• AV equipment delivery and the installation logistics.
• Scheduling of dates for the installation of AV equipment in finish spaces.

AVID believes that it is imperative that cordination with other vendors and the client’s team is essential for the success of a project. The cordination is accomplished through a weekly meeting.
During these meetings AVID project manager provides the status of their respective teams’s progresst to the client.Information & idea is exchanged and any kind of conflicts of coordination’s are resolved.
AVID makes it a point to always visit the client’s facility to check for any changes or any kind of distortion that might affect their work.
Step 2:
Preparing for Submittals
During the design phase of a client’s facility, sketches, AVID plan a project with early engagement and starts our activities with Floor Plan and CAD team. With the available details our sales and design team graphically design a Audio Video Schematics .Once that is finalized the next is to finalize the control and network schematics which is furthered detailed arrive to custom brackets, mounts, panels and designer button panels and all of this is done well in advance to reduce last minute delays. Thecomplete set of drawings consist of the following.
• Cover sheet, showing all the projects references and listing of scaled architectural plan/ dimensioned, reflected ceiling, elevation and other detail drawings as applicable, showing specific location and details of all AV components and systems to be installed at the given site.
• Reflected ceiling plans of all spaces, showing all devices and all items by others which require coordination with AV devices.
• Detailed signal flow drawing of video, audio, control and AV power that includes all wires and conductors with wire designations, all equipment’s showing model numbers and all inputs and outputs.
• Terminal blocks, connectors /types and color codes.
• Details of any custom circuitry.
• Dimension mounting details of all optical and display systems(screens & projectors)
• Structural drawings relative to AV systems, showing all components, details, dimensions, load and weights including attachments.
Necessary layouts can be shared in advance, hence ensuring a smooth flow of the project and better inter-package design co-ordination.

All the drawings are discussed between the project team of AVID and the client to ensure there is no conflict of interest and only once approved by the clients end, only then would the project team would proceed to go ahead and procure the equipment’s.
Step 3:
Procuring the AV equipment
Only after the drawings are approved by the client and ensuring that all the equipment’s meets the functional and connectivity requirements of the system only then AVID procurement department then procures all the equipment’s from its trusted manufacturer &authorized dealer ensuring in the given stipulated time frame.
While procuring the equipment’s, AVID ensures that all the equipment’s are in function and defect free. AVID follows a stringent policy of not compromising on any of the items that the client has requested. Also ensuring that all the equipment’s are not just delivered on time at the client’s facility but also the installation team are properly trained to handle the technology in orderto have a better understanding and ensure a seamless flow of installation.
Step 4: Preparing the Site
Most of the client’s facility does require certain activities to be performed to prepare the site to receive the AV systems. The project team of AVID is involved in the pre- set up of the activities that would include installation of electrical and mechanical systems as well as to initiate the cable installation and or installing architecturally integrated equipment such as projection screens and ceiling mounted loudspeakers if required.
Step 5:
Pre-Assembling and Testing the AV System. Proper function of all equipment:
The project team of AVID (Installers) check each and every stock or custom item to assure that it meets the intended specification and function. A meticulous check is performed to ensure the equipment is defect free for example recorders for quality recording, and all inputs and outputs are verified for function. All inputs and outputs of switchers and matrix switchers is checked for function and signal quality.
Mock-up of peripheral equipment:
Peripheral equipment’s includeloudspeakers, displays, cameras and microphones are also to be connected and checked as well.
Loading and testing of all software:
The Project team at AVID ensures all the Software,GUI’s,DSPcode drivers and others are tested on the premises of AVID first to ensure for the proper function.By doing so, this avoids any kind of unwanted damage to the client’s equipment and there is no downtime in the installation as well.
Pre Set Adjustments:
During a test run, any kind of adjustments is optimized whenever possible by the team. Some of this might include input leveling, peaking, pre amp settings and equalization it.
Step 6:
Site Installation After the above steps have been completed, AVID ships all the equipment’s to the client’s facility. AVID and the client ensures safe keeping of all the equipment’s at the clients location.
During the installation process the technicians of AVID follows protocol and guidelines that are defined in the project and the drawings.
As the installation nears completion, preliminary testing is conducted by the installation team of AVID and the clients end.
Preliminary tests would often include:
Verify signal paths for all field terminated wiring.
Verifying all the communication services.
Testing the functionality of all audio and video conferencing rooms.
Step: 7
Finalizing the documentation
The documentation team of AVID hands over the final Handover document (HOD) to the client that includes the below list
• Completion Certificate
• As built drawings
• Documentation of software configurations and settings.
• Equipment list
• Testing and commissioning report
